About the Colquitt County Clerk's Office
Donna Wilson is identified in the official county research as Clerk of Superior, State & Juvenile Court for Colquitt County. The office is on the second floor of the Colquitt County Courthouse in downtown Moultrie, "On the Square," and keeps the working court records for Superior Court, State Court, and Juvenile Court. The courthouse location is also important for traffic citation payment routing, jury functions, Board of Equalization appeal administration, child-support receiver duties, notary commissions, and real estate recording.
The Clerk page describes the office as the business arm of the court system: receiving, managing, and processing court documents; collecting and disbursing court fees, fines, and costs; recording deeds and mortgages; administering notary public commissions; and providing public access to court records. Probate records, marriage applications, weapons carry license applications, and certified marriage certificates are handled through Probate Court and its linked portals rather than through the Clerk's Superior/State case-search lane.

The GSCCCA Colquitt County Clerk profile is one statewide reference point for the local Clerk. The image below shows the state-level clerk profile context used for county clerk identification.
GSCCCA is especially useful for statewide clerk-linked indexes, while case-specific Superior, State, and Juvenile Court questions still route through the Colquitt County Clerk's office.
What the Clerk Does in Colquitt County
The Clerk's responsibilities span case records and administrative court work. The local office manages Superior Court, State Court, and Juvenile Court records. Superior Court is the general-jurisdiction trial court for felony, divorce, equity, title-to-land, major civil, and certain appellate or supervisory matters. State Court handles misdemeanor and traffic calendars locally. Juvenile Court records are managed by the Clerk but are generally restricted from public access.
- Maintain court pleadings, docket entries, judgments, orders, calendar-related records, and copy access for Superior, State, and Juvenile courts.
- Collect and disburse court fees, fines, costs, and traffic citation payments according to the transaction type.
- Record deeds, mortgages, charters, notary public records, and related real estate or clerk records.
- Support jury functions, Board of Equalization appeals, child-support receiver duties, accounting, and public access to court records.
Local staff categories in the research distinguish Superior Court criminal staff, State Court misdemeanor and traffic staff, land records, jury assistance, and accounting functions. That structure helps route requests: felony cases go to Superior Court criminal records staff, misdemeanor and traffic cases go to State Court/traffic channels, and deeds or notary records move through the recording side or GSCCCA.
How to Request a Certified Copy
A certified copy from the Clerk is the official court copy for a public Superior or State Court document, such as a divorce decree, civil judgment, criminal disposition, sentencing order, or other case filing. A certified copy proves that the copy came from the court record. Marriage certificates are different; those route through Probate Court and FeePayOnline.
- Identify the court and case type before requesting the copy: Superior Court, State Court, or Juvenile Court. Juvenile records are usually restricted.
- Gather the case number if available, party names, filing year, document name, and whether a plain or certified copy is needed.
- Try the Clerk's official case-search login for public case information, or call the office if the login does not expose the needed fields.
- Submit the request in person, by phone follow-up, or by mail to the Clerk's office with the required payment once the office confirms the amount and copy availability.
- Ask whether pickup, mail delivery, redaction, or additional authorization is required before expecting the copy.
Records Request Form Fields
The official case-search entry point is login-gated, and full public search fields were not visible before login in the research. A clear copy or record request should therefore include enough information for staff to identify the exact file without relying on a public portal result.
| Field | Required | Notes |
|---|---|---|
| Case number | Helpful | Best identifier when known; include court prefix or year exactly as shown. |
| Party names | Yes | List full names and any former names, especially for divorce or older civil cases. |
| Court/division | Yes when known | Superior Court, State Court, or Juvenile Court. Do not use this office for Probate Court estate files. |
| Filing date or year | Helpful | Use an approximate year if the exact date is unknown. |
| Document type | Yes | Examples: final decree, judgment, disposition, order, docket sheet, sentence, lien, deed record. |
| Copy type and count | Yes | State plain or certified copy and number of copies needed. |
| Requester contact and delivery | Yes | Provide phone, mailing address, and pickup/mail preference. |
Colquitt County Clerk Fees
The reviewed official research found payment rules and traffic deadlines, but it did not locate local plain-copy, certified-copy, exemplified-copy, or general civil filing amounts. Confirm the amount with the Clerk before mailing payment. The Clerk page also contains different card guidance for different transaction types, so avoid assuming one payment rule covers every service.
| Item | Amount |
|---|---|
| Plain copy fee | Fee not located in official county sources reviewed. |
| Certified copy fee | Fee not located in official county sources reviewed. |
| Exemplified copy fee | Fee not located in official county sources reviewed. |
| Traffic citation online payment deadline | Must be paid by 4:00 p.m. the day before court or appear in State Court as directed. |
| Clerk office card notice | Official notice says the Clerk's office only accepts Visa and MasterCard. |
| Traffic card notice | Traffic section lists Visa, MasterCard, Discover, and American Express. |
| Traffic non-card methods | Cashier's checks and money orders are listed. |
| Traffic methods not accepted | No cash and no personal checks. |
Case Search, GSCCCA, and Office Fallback
The Clerk's standalone site has a Case Search navigation item that points to a login/vendor interface. The research found that public fields were not exposed before login, so the portal should be treated as an official entry point with an office fallback, not as a complete public database. If the login does not show the expected case, call or visit the Clerk with the record request fields listed above.
For recorded land and clerk-related indexes, use the statewide GSCCCA search. GSCCCA can include real estate, liens, plats, UCC, notary, and related products depending on account and product availability. It is separate from the county court case-search login and should not be used as the only route for a criminal, divorce, or civil case file.
The GSCCCA search portal is the statewide clerk search source identified in the manifest. The image below shows the state search channel that complements the local Clerk office.
Use GSCCCA for recording-side searches, then contact the Colquitt County Clerk when a certified local copy, case file, or office-specific record question remains.
- Clerk case-search login - official local entry point for case search access.
- Clerk legal forms page - official Clerk site forms route identified in research.
- GSCCCA search - statewide clerk search for recording-side records and indexed products.
Traffic Payments, Calendars, and Clerk History
Traffic citations have special payment rules in Colquitt County. The Clerk page links PayYourTix Colquitt and states that if a citation is not paid by 4:00 p.m. on the day before the court date, the person must attend State Court as directed. If the citation number cannot be retrieved, the page says to try again later. The Sheriff's page also routes online citation payment to PayYourTix and in-person citation payment to the Clerk of Superior Court's Office at the courthouse.
Traffic cases are not always county State Court cases. A City of Moultrie citation may route to Moultrie Municipal Court or another municipal court, depending on the issuing agency. State driver records are separate from court traffic files and come from Georgia DDS. Paying a court citation can later affect a DDS motor vehicle record, but the court file and driver-history record are different records.
The Clerk page gives local calendar rhythm that helps explain docket timing: Superior Court non-jury hearings are conducted each Tuesday and at other special settings, Superior Court trials occur in February, May, August, and November, State Court non-jury hearings are by calendar, State Court jury trials occur in March, June, September, and December, and Juvenile Court hearings occur each Wednesday. Calendar postings may also appear through the Clerk site or Southern Judicial Circuit calendar channels.
The Clerk of Superior Court is a Georgia constitutional officer. The local Clerk page states that the office has been a county constitutional office since the Georgia Constitution of 1798 provided for election of a Clerk of Superior Court in each county. The historical point is practical: the Clerk is responsible to the public and is not simply a staff member appointed by the county commission or the judge. That independence explains why one office can maintain court files, collect fees and fines, record real estate instruments, administer notary commissions, and preserve public access functions.
